The following booking conditions cover all bookings with Arctic Advanced, whether you book through the company’s website, email, Whatsapp, unless otherwise stated. The contract between Arctic Advanced and all traveling members will only be valid after the buyer has accepted our Terms & Conditions and Arctic Advanced has received the confirmation fee. By completing a reservation through our website, phone or email, you acknowledge and agree to have read, understood, and have agreed to the terms and conditions set out here below.
These terms & conditions may be amended from time to time, and apply to all our services.
General Conditions
Arctic Advanced disclaims responsibility for any loss, damage, accidents, or sickness that might occur during our tours. The same applies for any changes in tour schedule, itinerary due to weather, strikes or any other irregularity outside Arctic Advanced’s control.
Arctic Advanced reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the passenger has to pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc). We advise all clients to have comprehensive insurance to meet all contingencies and in case of any loss, damage, accident, injury, sickness or schedule change beyond our responsibility.
Liability
Arctic Advanced, and our third party suppliers, reserve the right to alter routes, itineraries or timetables should the necessity arise, including irregularities due to adverse weather or road conditions. No responsibility is taken for losses or expenses due to delay or changes of flights, injury, damage, negligence, weather, war or other unforeseeable causes. The estimated duration of tours as indicated on our website are standard times and can vary according to road or weather conditions. Punctuality is a key objective in Arctic Advanced’s operation. However, delays may occur for unforeseen reasons. The company cannot be made responsible for losses that a passenger may face due to delay, regardless whether the loss is direct or indirect.

Terms of Payment
A non-refundable deposit of 5% of package price is needed to confirm your booking.
The balance should reach Arctic Advanced 2 days before arrival.
• We accept Visa, MasterCard, and electronic bank transfers.
Cancellation Policy
All cancellations must be made in writing (email for instance) and must be confirmed by Arctic Advanced in return, in conformity with business practices within the Icelandic travel industry. The date and time of cancellation(s) will be the one in which Arctic Advanced receives it through email during office hours, i.e. 8:00 – 16:00 Mon – Sat, Greenwich Time.
We strongly recommend that our clients purchase comprehensive travel insurance to cover possible needs of cancellation.
If a volcanic eruption in Iceland keeps you from getting to Iceland, you will get a full refund.
If Arctic Advanced cancels your tour you get a full refund.
All refunds are made through a bank transfer. Arctic Advanced is not responsible for changes in amount refunded due to currency fluctuations and bank charges.
Cancellations of individual private day-tours:
• Less than 24 hours – No refund
• More than 24 hours – 100% refund minus 5% handling fee
Cancellations of multi-day tours and Self-Drive packages for booking with 4 rooms or less:
• 2 days or less, or no show – No refund
• More than 2 days – 100% refund minus 5% handling fee
Rented vehicles
The renter and all additional drivers must present a valid driving license. If the renter’s national driving license is not printed in Roman script (i.e. Arabic, Greek, Cyrillic, Chinese, Japanese, etc.) an International Driving Permit (IDP) or International Driving License (IDL) is required. A valid passport is requested at the time of the pick up. A credit card as a guarantee is required by the rental company at the time of the pick-up of the rental vehicle.
When retrieving the rental vehicle, the traveler will be signing a direct contract with our rental car partner. The contract stands as a legal agreement between the traveler and the rental car partner. We strongly advise that you read the document completely and thoroughly before signing it.
Assumed Risk & Outdoor Activities
Customers are advised that all activities are undertaken entirely at their own risk, and they must behave in a fit and proper manner at all times, following Activity Iceland, or any other third-party suppliers’ guidelines. Customers must take proper responsibility for their safety. All adventure tours, and outdoor activities, carry inherent risks, and Activity Iceland, or any third-party suppliers, do not assume responsibility for accidents caused by customers, or can be traced to their actions, or are caused by factors outside of human control (Force Majeure).
With the purchase of your trip, you agree to these conditions, understanding its implications, and accept responsibility for your participation in your trip. Depending on the excursion, you may be requested to sign an additional liability release. If you refuse to do so, you may be forbidden to participate in the activity or tour.
Alcohol & Drugs
Activity Iceland, and all its third-party suppliers, reserve the right to refuse participation to any customer if they are believed to be under the influence of alcohol, or other intoxicants. In such circumstances, no refund will be given.
The tour guides are well within their right, provided by their employer, to refuse participation to any customer, whose conduct, manner or behavior, is likely to offend, upset, or put other passengers in danger. In such cases, no refund will be given.
Currency & VAT
Please note that all prices for the services provided by Arctic Advanced, or any third-party supplier, are in the company’s local currency, Icelandic Krona (ISK). Arctic Advanced cannot be held responsible for currency fluctuations and/or additional fees outside of their control that may be applied, such as bank transfer fees, credit card fees, etc. VAT is included in all the prices quoted.
The final price of your local currency will depend on the currency conversion offered by your credit card provider or bank at the date of the transaction. The same applies on refunds.
Comments or complaints
Arctic Advance’s goal is to provide solid and professional customer service. Should our clients be for any reason dissatisfied with the service provided, either by us or by our third party partners, we wish to hear about such as soon as any incident arises. Should our client be unable to do so at the time, we request that this is done as soon as possible by email, not more than 10 days after departure from Iceland. If complaints have not been placed within that time frame, compensation rights may be jeopardized.

Privacy policy
All personal information will be strictly confidential and will not be given or sold to a third party.
Governing law / Jurisdiction
These Terms and Conditions are in accordance with Icelandic law.
For cancellations made outside of 30 days of arrival date, 100% of amounts paid are non-refundable but the amount paid, minus a 15% cancellation fee, may be applied towards a new booking for a stay with an arrival date within 365 days of the arrival date stated in the cancelled booking.
All re-bookings are subject to availability and potential rate increases. The time periods set forth above for applying previously paid amounts and re-booking will not be extended and any unused amounts are non-refundable. All re-bookings are final.
Arctic Advanced is not liable for any currency exchange rate fluctuations
